What IT Support Really Costs for a Manhattan Small Business

Per-user pricing in Manhattan runs 20-40% higher than the same service delivered from across the Hudson, here's where that money actually goes, and when it's worth paying.

A 14-person architecture firm near Bryant Park recently showed us three managed IT quotes. The Manhattan providers came in at $185 and $210 per user per month. Our quote, for the same monitoring stack, the same security tooling, the same Microsoft 365 management, was meaningfully lower. The owner's first question was the right one: "What am I not getting?"

The honest answer: a Midtown lease, a fleet of techs riding the subway between client sites, and Manhattan payroll. None of which makes your computers run better. Let's break the pricing apart so you can read your own quotes intelligently.

The real per-user ranges in 2026

For fully managed IT (monitoring, patching, unlimited help desk, endpoint security, backup management) here's what small businesses (5-50 employees) are actually quoted right now:

  • Manhattan-based MSPs: $150-$250 per user/month, with most landing at $175-$200. White-glove firms serving finance and law push past $300.
  • Outer-borough and NJ-based MSPs: $100-$165 per user/month for an equivalent stack.
  • "Break-fix" hourly support: $150-$275/hour in Manhattan. Looks cheap until you have a bad quarter, one ransomware cleanup at hourly rates can exceed a year of managed service.

So a 15-person office is looking at roughly $1,500-$3,000 per month managed, depending on who's billing and from where. That spread (up to $18,000 a year for the same headcount) deserves an explanation.

Why Manhattan rates run high (and it's not greed)

Three costs get baked into a Manhattan MSP's per-user price before a single ticket is touched:

1. Office rent

Class B office space in Midtown still runs $55-$70 per square foot. An MSP with 2,500 square feet is carrying $12,000+ per month in rent that has to come out of client contracts. An MSP based in Clifton or Paramus carries a fraction of that.

2. Field technician time

If a provider's model depends on dispatching bodies, every onsite hour really costs two, travel in, travel out, freight elevator waits, building security check-ins. Providers price that dead time into everyone's contract, including clients who rarely need visits.

3. Manhattan payroll

A level-2 technician costs $15K-$25K more per year in Manhattan than the same skill set in North Jersey. Multiply by a bench of six techs and the delta has to land somewhere, your invoice.

What remote-first delivery changes

Password resets, Outlook problems, slow machines, printer queues, security alerts, Microsoft 365 administration, none of it requires a human in your office. When paying Manhattan rates IS worth it

We'll argue against our own interest here, because it's true in specific cases:

  • You need a tech physically present multiple days a week. Trading floors, broadcast studios, medical imaging, environments where a 30-minute hardware response is non-negotiable justify a provider with staff blocks away.
  • You're 75+ employees with complex on-prem infrastructure. At that scale, an embedded engineer model starts beating remote-first economics.
  • Your compliance regime requires documented physical site control. Rare for small firms, but it exists.

If none of those describe you (and for most 5-50 person offices, none do) you're paying a real estate subsidy, not buying better support.

How to pressure-test any quote

Whoever you're evaluating, ask these four questions and make them answer in writing:

  1. What's the average remote response time? Ours is under 15 minutes. Anything over an hour means understaffing.
  2. Is security included or an add-on? EDR, MFA enforcement, and email filtering should be in the base price. "Security packages" bolted on later are a margin play.
  3. How are onsite visits handled and billed? Scheduled visits included, emergency visits defined, rates printed.
  4. What happens at renewal? Get the escalation cap in the contract. 3% annual is normal; "market adjustment" is a blank check.
