IT for Brooklyn Creative Studios: Storage, Backups, and Fast Workstations

A 90-minute shoot day generates a terabyte before lunch, here's how studio IT should work, traced through the life of one project.

Creative studios break every generic IT playbook. The advice that works for a law office ("put everything in the cloud, buy mid-range laptops") is actively harmful when your files are 80 GB apiece and your deadline is a color-graded cut by Friday. The studios we support in Williamsburg, Greenpoint, and Gowanus have the same three pressure points: storage that can't keep up, workstations specced wrong, and backups that quietly stopped covering the new project drive months ago.

The clearest way to get this right is to follow one project through the pipeline (ingest, edit, delivery, archive) and put the right gear at each stage.

Ingest: the most dangerous hour of the project

Between the moment a shoot wraps and the moment footage exists in two places, your project is one dropped drive away from not existing. Rules we hold studios to:

  • Offload with checksum verification, use an offload tool that verifies every byte (xxHash), not a Finder drag that can silently truncate a card.
  • Two copies before any card gets formatted. Working storage plus one other place, even a cheap USB ingest drive counts at this stage.
  • Name it once, correctly. A boring convention like 2026-06_ClientName_ProjectName beats every clever system, because the archive search you'll do in 2028 depends on it.

Edit: why "just use the cloud" is the wrong answer here

Here's the honest math that generic cloud advice skips. A day of 4K footage easily runs 500 GB to 1 TB. On a 300 Mbps upload (decent for a Brooklyn office) 1 TB takes roughly 7.5 hours to upload. Multicam 4K editing wants sustained read speeds in the hundreds of MB/s with low latency. The cloud is not your editing drive, and won't be on any internet plan you can buy in Kings County. Active work needs to be local. The right answer is tiered:

Tier 1, working: NVMe in the workstation

A 2-4 TB NVMe drive (3,000+ MB/s) holds the active project, cache, and scratch. This is the cheapest performance upgrade in the building (about $200-$400) and it outruns any network.

Tier 2, shared/nearline: a real NAS on 10 GbE

Recent projects and shared assets live on a studio NAS. For a 4-10 person studio, a proper unit with 60-100 TB usable, on a 10 GbE switch with 10 GbE cards in the edit machines, runs $6,000-$12,000 all-in, and a gigabit-only NAS is a bottleneck wearing a storage costume (~110 MB/s shared across everyone). Two non-negotiables: RAID is uptime, not backup; and snapshots on, because ransomware encrypts NAS shares just as happily as laptops.

Tier 3, archive: cloud cold storage (plus a copy on the shelf)

Delivered projects move off the NAS to cloud archive tiers at roughly $1-$4 per TB per month, at 40 TB of archive that's $40-$160 monthly, versus another five-figure NAS expansion. Keep retrieval costs in mind (archive tiers charge to pull data back) and keep a second archive copy on rotated shelf drives or LTO if your volume justifies it. When a client calls in 18 months for a re-edit (and they will) the bid you can say yes to depends on this tier existing.

The workstation: where the money actually matters

Studios overspend and underspend on the same machine. What matters, in order, for Premiere, Resolve, and After Effects work:

  • GPU first. Decode, effects, and export lean on it hard; the jump from a mid-range to a high-end card often does more than any CPU upgrade. For Resolve color work, the GPU effectively is the machine.
  • RAM: 64 GB is the floor for 4K timelines; After Effects-heavy shops want 128 GB. 32 GB machines are why "it crashes on export" tickets exist.
  • NVMe everywhere, OS, cache, and media on separate drives, ideally.
  • CPU: good, not maximal. Past 16 strong cores, most editing workloads see diminishing returns, that budget belongs in the GPU and RAM lines.

A correctly specced editing tower lands around $3,500-$5,500 and stays viable for four years. We handle the lifecycle (specs, builds, driver headaches, and the day the export queue dies) under workstation repair and help desk support.

Delivery: stop sending clients to a free file-transfer link

Free transfer links expire, get spoofed in phishing campaigns, and look exactly as cheap as they are under your logo. Studios on Microsoft 365 already own the better answer: branded SharePoint client folders with expiring, password-protected links and version history, which also ends the "is this final_FINAL_v3?" thread. Review-and-approve platforms like Frame.io earn their fee for video-heavy shops. Backup at terabyte scale: 3-2-1, adapted for media

The classic rule (three copies, two media types, one offsite) survives contact with studio volumes only if you apply it per tier instead of trying to back up everything everywhere:

  • Working tier: syncs to the NAS daily; an NVMe drive is allowed to die without taking the project with it.
  • NAS tier: snapshots locally (your ransomware undo button) plus nightly backup of current-project shares offsite. Seed the first copy by shipping a drive, don't spend three weeks uploading.
  • Archive tier: is itself two copies, cloud cold storage plus shelf media.
  • Business data (email, contracts, invoices, project docs) is small and precious, and gets standard M365 backup like any other company.

The recurring failure we find in studio audits isn't a bad backup product, it's scope drift: someone added a "Projects2" share in March and nothing has backed it up since.
